How to Respond to an RFQ Faster Without Sacrificing Accuracy

A practical supplier-side workflow for reviewing buyer requirements, preparing pricing, creating a professional quotation, and replying faster.

Responding quickly to a request for quotation can improve the buyer experience, but speed alone is not enough. A fast quote with the wrong quantity, missing line item, unclear delivery term, or incorrect price can create more work than a slower and properly reviewed response.

The goal is not to remove review. The goal is to remove repetitive work around the review.

1. Start from the original buyer request

Keep the incoming email, RFQ document, spreadsheet, and supporting attachments available throughout the quotation process. Forwarded copies and manually rewritten notes can lose important context.

Identify the buyer contact, RFQ reference, requested products or services, quantities, units, delivery location, requested date, technical requirements, and any special commercial conditions.

2. Separate technical and commercial review

Some RFQs can be handled by a salesperson. Others require engineering, production, procurement, quality, finance, or management approval.

Create a clear handoff between technical feasibility and commercial preparation. The quotation should not be finalized until the responsible people confirm the information that affects price, lead time, compliance, or risk.

3. Structure the line items before pricing

Different buyers use different RFQ formats. Convert the request into a consistent internal structure before calculating prices.

For each line item, confirm:

  • Buyer line number
  • Part number or SKU
  • Description
  • Quantity
  • Unit of measure
  • Requested delivery date
  • Specification or revision
  • Notes and exceptions

A structured list makes missing data easier to identify and makes the final quotation easier to verify.

4. Use reusable company and commercial information

Many quotation fields are repeated on every response. Examples include company name, address, contact details, tax information, payment terms, bank details, warranty language, quotation validity, and standard delivery notes.

Store this information in a controlled template instead of copying it from an old document. Old quotations may contain outdated prices, terms, contacts, or buyer-specific information.

5. Make exceptions visible

A quote should clearly state where your offer differs from the request. Examples include substitute products, revised quantities, partial availability, different lead time, minimum order quantity, excluded freight, alternative payment terms, or specification limitations.

Do not hide these differences inside a long email. Put them in the quotation notes or line-item comments where the buyer can review them.

6. Check the quotation before export

Use a consistent final review checklist:

  1. Buyer name and RFQ reference are correct.
  2. Every requested line item is included or marked as unavailable.
  3. Quantities and units match the source document.
  4. Currency and tax treatment are clear.
  5. Unit prices and totals calculate correctly.
  6. Delivery and lead time are realistic.
  7. Payment, validity, and warranty terms are included.
  8. Attachments and technical exceptions are referenced.
  9. The correct company branding and contact information appear.
  10. The response email matches the attached quotation.

7. Use automation for preparation, not blind approval

RFQ automation can help extract information, prepare line items, generate a branded PDF, and create a response email. It should not silently approve pricing, technical requirements, or contractual conditions.

The best workflow combines automation with a visible review step. This reduces repetitive work while keeping responsibility with the salesperson and the company.

8. Track the real response time

Measure response time from the moment a usable RFQ is received to the moment a complete quotation is sent. Also record why quotes are delayed.

Common causes include missing buyer information, internal pricing approval, supplier cost confirmation, engineering review, and document preparation. RFQ software can reduce document preparation time, but the other delays may require process changes.
